Welcome to the Clima Awards website (the "Website"). The Clima Awards is an awards programme ("Awards") designed to recognise and celebrate best-performing individuals and organisations in the field of sustainability and climate risk resilience through a structured assessment process.

These Terms and Conditions ("Terms") govern your access to and use of the Website and your participation in the Awards. By accessing the Website, submitting an application, or otherwise engaging with the Awards, you confirm that you have read, understood, and agree to be bound by these Terms in their entirety.

If you do not agree to these Terms, please do not use the Website or submit any application. These Terms apply to applicants from the United Kingdom (UK), the Middle East, and Africa (MEA), and shall be interpreted in compliance with applicable laws and regulations in those jurisdictions.

In these Terms, the following words shall have the meanings set out below:

• "Applicant" means any individual or organisation that submits an application to participate in the Clima Awards Programme.
• "Assessment Process" means the structured evaluation procedure used to identify, assess, and rank best-performing individuals or companies in the relevant category, theme, and sector.
• "Award" means any prize, recognition, certificate, or title conferred upon a successful Applicant pursuant to the Programme.
• "Controller" means the Clima Awards organisers who determine the purposes and means of processing Personal Data.
• "Data Protection Laws" means all applicable legislation governing the processing of Personal Data, including without limitation the UK GDPR, the Data Protection Act 2018, the UAE Federal Decree-Law No. 45 of 2021 on Personal Data Protection, the Kingdom of Saudi Arabia Personal Data Protection Law (PDPL), the Nigeria Data Protection Act 2023, and any other applicable data protection legislation.
• "Personal Data" means any information relating to an identified or identifiable natural person, as defined under applicable Data Protection Laws.
• "Programme" means the Clima Awards awards programme described in these Terms.
• "UK GDPR" means the United Kingdom General Data Protection Regulation as it forms part of the law of England and Wales, Scotland, and Northern Ireland by virtue of the European Union (Withdrawal) Act 2018.
• "We", "Us", or "Our" means the Clima Awards organisers, including any affiliated entities responsible for administering the Programme.
• "Website" means the Clima Awards website accessible at www.climaawards.com
• "You" or "Your" means the Applicant or any user of the Website.

To be eligible to apply to the Clima Awards, Applicants must satisfy the following criteria:

• Be an individual, company, organisation, or institution operating within or having demonstrable sustainability and climate activities connected to the UK, Middle East, or Africa.
• Be at least 18 years of age (for individual applicants) or be a legally constituted entity at the time of application.
• Have a credible and verifiable sustainability and climate track record, project, initiative, or performance record that can be assessed objectively.
• Agree to and comply with these Terms in full.
• Not be subject to any legal proceedings, sanctions, or regulatory actions that would bring the Programme into disrepute.

The following shall be ineligible to participate:

• Employees, officers, judges, directors, or contractors of the Clima Awards organisers, and their immediate family members.
• Applicants who have previously been disqualified from the Programme.
• Any entity designated under applicable sanctions regimes in the UK, Middle East, or Africa.

We reserve the right to verify eligibility at any stage and to disqualify any Applicant who does not meet the criteria or who has provided false or misleading information.

Applications must be submitted through the Website during the designated application window. Late, incomplete, or incorrectly submitted applications may be disqualified at our sole discretion. There is no limit to the number of categories for which an Applicant may apply, unless stated otherwise on the Website.

When completing an application, Applicants will be required to provide, inter alia, the following information:

• Full name of the individual or authorised representative of the organisation.
• Contact details, including email address and telephone number.
• Organisation name, sector, and country of operation.
• Position or job title of the individual applicant or authorised representative.
• Supporting documentation and evidence of sustainability and climate performance or activities.
• Any other information specified as mandatory in the application form.

By submitting an application, You warrant that all information provided is accurate, complete, truthful, and not misleading. You agree to notify Us promptly of any changes to the information provided. Submission of false, inaccurate, or misleading information will result in immediate disqualification and may be reported to the relevant authorities.

Details of any applicable application or entry fees will be specified on the Application Brochure. Where fees are payable, they are non-refundable unless expressly stated otherwise or required by applicable law.

All eligible applications will be subject to an independent assessment process. The assessment criteria, methodology, and weightings will be at Our discretion. We reserve the right to amend the assessment criteria from time to time, with notice provided to Applicants where reasonably practicable.

A panel of independent judges with expertise in sustainability, climate risk, finance, innovation and AI, business transformation, philanthropy, and related disciplines will evaluate applications. The panel of judges consists of;

Primary Evaluators: Responsible for the initial review of all award applications. They assess each submission against the programme's criteria, score entries, and document their findings. They form the first line of judgement, filtering and rating applications before escalation.

Quality Assurance Reviewers: Responsible for verifying the accuracy, consistency, and integrity of the Primary Evaluators' assessments. They review scoring rationale, flag discrepancies or bias, and ensure all evaluations meet the programme's standards before final decisions are made. They do not re-assess from scratch, rather, they scrutinise the work already done.

All judges are required to declare any conflicts of interest. The decisions of the judging panel are final and binding, and no correspondence will be entered into regarding individual scores or outcomes.

We reserve the right to conduct due diligence, request additional documentation, and verify any information provided in an application at any stage of the process. Applicants agree to cooperate fully with any such verification requests.

We may disqualify any Applicant, including after an Award has been conferred, where:

• The application contains false, misleading, or unverifiable information.
• The Applicant fails to meet eligibility requirements.
• The Applicant acts in a manner inconsistent with the values and objectives of the Programme.
• A conflict of interest or reputational risk to the Programme arises.

Successful Applicants will be notified of their Award via the contact details provided in their application. Awards may take the form of certificates, trophies, digital badges, media recognition, or other forms of acknowledgement as determined by Us.

Winners grant Us permission to use their name, company name, country, and a summary of their sustainability and climate achievement in promotional materials, press releases, social media, and publications related to the Programme. Any more detailed use of winner information will require separate written consent.

Awards are non-transferable. Winners may not sell, license, or otherwise transfer an Award to any third party. We reserve the right to withdraw an Award at any time should the grounds for disqualification in Clause 5.4 above be established after the Award has been conferred.
